Expanded Read-Only webIRB Access

Description
 
There are two types of expanded read-only webIRB access:
  1. Department Administrator (for specific departments)
  2. Global (all studies)

1.  Department Administrator

This role provides read-only access to studies within webIRB to individuals who need to review or print specific information about studies within his or her department. This role requires the department Chair approval.

The Department Administrator role is defined so that an individual with this role can be assigned to one or more specific departments. With this expanded webIRB access, when the individual logs into webIRB, he/she will be able to see all studies in which the PI’s primary department matches a department to which the individual is assigned.

In the situation where a principal investigator has multiple appointments to different departments and the study the person needs access to is not in the PI’s primary department, the individual requesting access will need to ask the specific department for permission before OHRPP will grant access to studies in that department. The authorization must come from the department Chair.

2.  Global

This role provides read-only access to all studies within webIRB to individuals in UCLA units who require access to specific information within webIRB studies in all departments. This role requires the department Chair approval.

Alternatives to Expanded Access:

Please note that if the sole purpose of obtaining the expanded webIRB access is to inquire about the status, approval or expiration date of a study, the UCLA ORA Portal should be used instead. Expanded webIRB access should be for individuals who need to access certain details of protocols beyond the status, approval or expiration date of a study.

The IRB Protocol Review Status Report on the UCLA ORA Portal can be accessed here. Access is limited to UCLA affiliated users only.

Another option for small units is for the individual requesting expanded access to check with the principal investigator of the study to see if listing them as key personnel in section 1.1/item 5.0 of the main study (no longer limited to read-only access), is acceptable.

 
How can individuals request this Expanded Read-Only Access?
 
Users requesting expanded access must email the completed "OHRPP Form to Request Expanded Read-Only webIRB Access" to webIRBhelp@research.ucla.edu.

How is Access Granted?
  • After receiving the request via email, the request will be reviewed by the OHRPP Director or Associate Director.
  • Once the expanded access has been granted, the user will be notified via email.
Duration of Access
 

-  New requests made between 1/1- 6/30 receive an expiration date of 12/31 of that year

-  New requests made between 7/1-12/31 receive an expiration date of 6/30 of the next year

-  Renewal requests receive a minimum of one year approval with either a 6/30 expiration of the next year (if submitted before 6/30) or a 12/31 expiration of the next year (if submitted after 6/30).

 
At least thirty days before expiration of the webIRB expanded access (Department Administrator or Global), OHRPP will send an e-mail reminder to ask if the user needs to extend the period of access. If so, they will be asked to complete another form.
